Privacy Policy

How PMC and majesticpmc.com handle your information. Last updated October 4, 2026.

Who we are

Majestic Property Management Co. ("Majestic PMC", "we", "us") makes PMC, property and construction management software used through app.majesticpmc.com and the PMC app for iPhone, and runs the public website majesticpmc.com. We are based in Richardson, Texas.

PMC is a business tool. Accounts are created for staff of the companies that use PMC under an agreement with us; there is no public sign-up. Where a company uses PMC to manage its own buildings, tenants and vendors, that company decides what records it keeps in PMC, and we process those records on its behalf.

Information we collect

Account information: your name, email address, username, role, the organisations you belong to, and a profile photo if you add one. Your password is handled by our authentication provider and is never stored by us in readable form.

Records you and your colleagues enter: properties, units and floor plans; tenants and their leases, contacts, deposits and insurance details; vendors, contractors, subcontractors and customers, including W-9 forms; maintenance requests, materials and equipment; construction projects; expenses, bills, invoices, payments and the receipts and documents attached to them; and team chat messages with their photos and files.

Photos, documents and voice: images and PDFs you take or choose (receipts, repair photos, contracts). When you speak to PMC AI, your iPhone's speech recognition turns your voice into text; we receive the text, not the recording.

Technical information: request logs kept by our hosting provider (such as IP address, time and the page or API called), and the app version. On iPhone, a few settings (such as whether Face ID is required) are stored on your device only.

We do not collect your precise location, contacts, browsing history or advertising identifiers, and we do not track you across other companies' apps or websites.

How we use information

  • To provide PMC: sign you in, show and update your organisation's records, file expenses and bills, send invoices and documents for signature, and run reports.
  • To read receipts and documents you scan, and to answer questions you ask PMC AI (see “Artificial intelligence” below).
  • To send the emails PMC sends on your organisation's behalf, such as invoices, signing links, approvals and notices.
  • To keep PMC secure, investigate problems and support you when you contact us.

We do not sell personal information, and we do not use it for advertising.

Artificial intelligence

PMC AI (the assistant) and receipt scanning use Google Gemini, a third-party AI service provided by Google. When you use them, PMC's server sends Google what is needed to answer: your message, the photos or documents you share, and the PMC records relevant to your question. Google returns the reading or the answer to PMC.

The PMC iPhone app asks for your agreement before the first time either feature sends anything, and nothing is sent to Google from those features until you agree. You can use the rest of PMC without them.

Who we share information with

We share information only with service providers that run PMC for us, and only for that purpose:

  • Supabase — database, file storage and sign-in.
  • Vercel — hosting of the web app and API.
  • Google — Gemini for AI features; Google Drive for documents some organisations stored there before PMC.
  • Xero — accounting, when your organisation connects its Xero account; expenses, bills and invoices are synced with it.
  • Our email provider — to deliver the emails PMC sends.
  • Expo — to deliver push notifications to the earlier PMC mobile app.

We may also disclose information when the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of our business, in which case this policy continues to apply.

Who can see your organisation's records

Records are kept per organisation. People see only the organisations they belong to, and within them only the sections their role allows (for example, a maintenance technician sees the jobs assigned to them). Your organisation's administrators manage who has access.

How long we keep information

We keep account information while your account is active, and organisation records for as long as the organisation uses PMC and as required for accounting, tax and legal purposes. Archived records are kept so they can be restored. When an account is deleted we remove or anonymise its personal information, except where we must keep it by law.

Security

Information travels over encrypted connections (HTTPS). Files are stored privately and shared through links that expire. On iPhone, sign-in tokens are kept in the Keychain, and you can require Face ID to open the app. No system is perfectly secure, and we will notify affected users and organisations of a breach as the law requires.

Your choices and rights

You can see and update your profile in the app. To access, correct or delete your personal information, or to delete your account, email sammy@majesticpmc.com (in the iPhone app: Profile → Request Account Deletion). If your account belongs to an organisation that uses PMC, we may need to confirm the request with that organisation, which controls its own records. Depending on where you live you may have further rights under local law; we will honour them.

Children

PMC is a business tool for adults and is not directed to children under 13. We do not knowingly collect their information.

Changes

We will post any change to this policy on this page and update the date above. Significant changes will also be announced in the app.
